Prophet 21 CRM Integration: Salesforce, HubSpot, Agile CRM, Sage CRM, ServiceNow
Prophet 21 CRM integration connects Epicor P21 to whichever CRM your sales or service team uses, so customers, orders, AR and availability flow into the CRM and new accounts flow back without rekeying. It is for distributors whose CRM isn’t one of the big two, or who run a service platform beside sales. The CRM changes; the rules that make the sync reliable don’t.
The Rules Are the Same for Every CRM
Whatever the CRM, the failures we get called in to fix come from the same place: two systems both believing they own the same record. The sync that works gives every dataset exactly one owner.
| Data | Owner | Flow |
|---|---|---|
| Customers, ship-tos, credit status | P21 | P21 to CRM; new accounts created in the CRM go to P21 once they convert |
| Orders, invoices, AR | P21 | P21 to CRM |
| Availability and customer pricing | P21 | P21 to CRM, for quoting |
| Contacts, activities, pipeline, cases | CRM | Stays in the CRM |
Writes into P21 go through the P21 API; reads come from the P21 SQL Server database; middleware does the mapping, retries and alerting. Account matching, with human review of uncertain matches, happens before the first sync.
What Differs by CRM
The P21 side is identical across these. What changes is the CRM’s API and data model:
- Salesforce. Our most-built pairing, with a full case study: 25+ hours a week saved and 92% fewer data errors. See Prophet 21 Salesforce integration.
- HubSpot. Companies, deals and custom properties through HubSpot’s CRM API, with won deals becoming ERP orders. See Prophet 21 HubSpot integration.
- Agile CRM. A REST API covering contacts, companies and deals. P21 order and AR data typically lands in custom fields on the company, since Agile has no native order object.
- Sage CRM. Web services, and a REST API in recent versions; on-premise installs often run on SQL Server beside P21. Sage CRM is frequently a leftover from a previous Sage ERP, so the first job is deciding which of its records still matter.
- ServiceNow. Usually the service desk rather than the sales CRM. The valuable flow is P21 customers, order history and shipped items into ServiceNow so a service agent sees what the customer bought and when, through ServiceNow’s REST Table API.
- Industry and niche CRMs. In our P21 invoice automation project, phase one connected P21 to the distributor’s WPCRM, their 8x8 phones and Microsoft 365, so sales got one customer view and calls opened with account details.
If your CRM has an API, or a database we can reach, it can be connected to P21. If it has neither, we tell you that in the audit rather than after the invoice.
Timeline and Price
Integration projects run $5,000 to $50,000+. A focused P21 to CRM sync usually lands in the $15,000 to $35,000 band over 4 to 8 weeks; a narrow one-way feed of order status can be live in 2 to 4 weeks. CRMs with thin APIs, or years of duplicate accounts, sit at the upper end. The ERP integration cost guide breaks down what moves the number.

Prophet 21 CRM Integration FAQ
-
Can you integrate P21 with Agile CRM?
Yes. Agile CRM exposes a REST API for contacts, companies and deals. P21 customers map to Agile companies, and order and AR data lands in custom fields because Agile has no native order object.
-
Can you integrate P21 with Sage CRM?
Yes, through Sage CRM’s web services or REST API, and on-premise installs can also be read from their SQL Server database. We start by deciding which Sage CRM records are still current.
-
Can you integrate P21 with ServiceNow?
Yes. The common flow sends P21 customers, order history and shipped items into ServiceNow through its REST API, so service agents see what a customer bought without opening P21.
-
How long does a P21 CRM integration take?
A focused sync of customers, orders, AR and availability typically takes 4 to 8 weeks and costs $15,000 to $35,000. A narrow one-way feed can be live in 2 to 4 weeks.
