What Happens on an Unconnected Call

The phone rings. The rep asks for an account number, switches to P21, searches, puts the customer on hold to check an order, and afterwards may or may not write down that the call happened. Multiply by every call, every day. The minutes are the obvious cost; the less obvious one is that the next person to call that customer has no idea what was said.

What the Integration Does

  • Screen-pop before you answer. The caller’s number is matched to a P21 customer or contact, and the rep sees the account, open orders, AR balance and last shipment as the phone rings. A warehouse manager taking a delivery call sees shipment status without switching screens.
  • Automatic call logging. Every call is recorded against the right customer record (in P21, the CRM, or both), without asking reps to type notes.
  • Click-to-dial. Call a customer from their P21 or CRM record in one click.

How It’s Built, by Platform

The P21 side reads customer, contact, order and AR data from the P21 database, keyed by normalized phone number. That normalization is the unglamorous part that decides whether pops work: P21 phone fields hold extensions, dashes, country codes and old numbers, and each has to resolve to one customer or honestly to none.

Rolling It Out Without Annoying Anyone

  • Decide what the pop shows per role. Inside sales wants open quotes and pricing; customer service wants order and shipment status; AR wants the aging. One screen for everyone is too much for all of them.
  • Handle the shared numbers. A main line that belongs to three customers, or a distributor’s buyer who calls for two accounts, should offer a choice rather than a confident wrong answer.
  • Log automatically, annotate optionally. The call record writes itself; reps add a note only when there is something worth saying. Mandatory notes are the first thing people stop doing.
  • Test on real call history. Before go-live we replay a few weeks of caller IDs against P21 to see how many match, and clean up the phone fields that don’t.
