ERP Integration Cost Estimator: Systems, Data, Complexity

This estimator gives an indicative price range and timeline for an ERP integration project, using the same bands and cost drivers we use in our own proposals. It is for manufacturers and distributors budgeting before they talk to anyone. Answer six questions; the formula is written out below, and nothing you enter leaves your browser.

Estimate Your Project

Project tier: Simple

$5,000 to $10,000

Typical timeline: 2 to 4 weeks

Indicative only. Real projects are scoped with a fixed quote after a free workflow audit. Ongoing costs are separate: middleware hosting typically $50 to $300 a month, and a support arrangement $200 to $800 a month.

How the Estimate Is Calculated

Step 1: pick the tier. These are the three bands from our ERP integration cost guide:

TierWhen it appliesBandTimeline
SimpleTwo systems, APIs on both, one-way flow, no custom rules$5,000 to $15,0002 to 4 weeks
ModerateTwo-way sync, or a few business rules, or rough data$15,000 to $35,0004 to 8 weeks
ComplexThree or more systems, a legacy system without an API, AI extraction in the flow, or many business rules$35,000 to $50,000+2 to 4 months

Step 2: place it within the band. A complexity score from 0 to 1 is the average of three factors: data condition (clean 0, some duplicates 0.5, rough 1), business logic (none 0, a few 0.5, many 1) and system count (2 systems 0, 3 systems 0.5, 4 or more 1). The low end of the estimate is band low + score × half the band width, and the range spans half the band width from there.

Step 3: add a bridge if needed. A system with no API needs a bridge service built first, roughly $15,000 to $40,000 of additional scope and 4 to 8 weeks (see when your ERP has no API). Anything above $50,000 is shown as $50,000+, because at that size we split the work into phases.

Worked example: P21 to Salesforce, two-way, APIs on both sides, some duplicate customers, a few rules. That is Moderate; the score is (0.5 + 0.5 + 0) / 3 = 0.33, so the estimate is about $18,000 to $28,000. The real project came in at about $18,000.

How to Land at the Low End

  • Choose one-way flows where one-way is enough. Orders flow in, statuses flow out, and each dataset has one owner. Bidirectional everything is the most expensive default in integration.
  • Write the requirements down. A one-page list of which fields go where, how often, and what wins on conflict saves thousands in discovery hours.
  • Budget data cleanup explicitly rather than discovering it as change orders.
  • Phase it. Ship the highest-value flow first, run it, then add the next.

Then compare the estimate with what the manual work costs today: our workflow audit checklist helps you put a number on it, and the real cost of disconnected systems shows the math.
