Prophet 21 Power BI Dashboards: Inventory, Orders, Margin
Prophet 21 Power BI dashboards read directly from the P21 database and refresh on a schedule, so the inventory, fulfillment, margin and AR numbers in the Monday meeting are today’s and match what P21 says. They are for operations managers, purchasing and controllers at distributors who are tired of exporting to Excel. Each screen has one owner and answers one question.
Why P21 Reporting Ends Up in Excel
P21 has the data. Getting it into a form a manager will look at every morning is where it breaks down. Three causes cover nearly every abandoned dashboard we see:
- Manual refresh. Someone exports from P21 and refreshes a file. It dies the first busy week.
- Numbers that disagree with P21. Duplicate items, orders nobody closed, a different definition of “on time”. People check it against P21 twice, catch a mismatch once, and never come back.
- Forty tiles and no owner. A dashboard built for everyone is used by no one.
The Dashboards Worth Building on P21
| Dashboard | Owner | What’s on it | Refresh |
|---|---|---|---|
| Daily operations | Ops manager | Orders due to ship today, past-due orders, receipts against expected | 15 minutes to hourly |
| Order fulfillment | Customer service and sales leadership | On-time rate trended, backlog by age, backorders in dollars, order-to-ship days | Hourly |
| Inventory | Purchasing and warehouse | Value by class, turns, fill rate, stockouts, slow-moving and dead stock | Hourly to nightly |
| Financial pulse | Controller and owner | AR aging with over-60 up front, AP due this week, shipments against forecast, gross margin trend | Nightly |
The dead stock tile changes behavior fastest: nobody wants to own that number in the Monday meeting, so it starts shrinking. More on each screen in KPI dashboards that people actually use.
How We Build Them on P21
- Direct connection to the P21 SQL Server database, querying the same tables P21 reports from, so the dashboard can’t disagree with the P21 screen someone else is looking at.
- Agreed definitions, written down. On-time against original or current promise date? Fill rate by lines or dollars? Each number gets one answer, agreed once.
- Data cleanup first. Duplicate customers and items, unclosed orders and bad unit conversions get fixed in P21, not hidden in the report. See data cleanup and visibility.
- Drill-down one level. The past-due tile opens the list of past-due orders. Deeper than that and you’ve rebuilt P21.
Beyond P21: One Screen, Several Systems
Some of the numbers people want sit outside P21: pipeline in the CRM, shipments in a carrier system, scrap on the plant floor. Power BI can join them, but only if each system has one agreed source per number. In our multi-system case study, Power BI read from an integration hub’s data warehouse updated in near real time, so executives saw today’s numbers instead of figures three days stale, and the month-end close got 5 days faster.
For most P21 shops the right order is: one dashboard straight off P21, then connect the other systems to P21 (see P21 CRM integration), then widen the reporting. Building the report first and the plumbing second produces a dashboard that needs its own reconciliation.
Timeline and Price
A first dashboard (one audience, one question, wired live to P21) typically runs $5,000 to $15,000 including the data work, and takes 2 to 4 weeks. Start with the screen that maps to your loudest current pain; the first one settles your definitions, and the rest go faster. If your P21 data needs serious cleanup first, we scope that separately so you know what you’re paying for.
Prophet 21 Power BI FAQ
-
Does Power BI connect directly to P21?
Yes. We connect Power BI to the P21 SQL Server database and refresh on a schedule, from every 15 minutes for operations screens to nightly for financial ones. No exports.
-
Will the dashboard numbers match P21?
They should, because we query the same tables P21 reports from and agree each definition in writing. Where P21 data itself is wrong, we fix it in P21 rather than patching the report.
-
What does a first P21 dashboard cost?
Typically $5,000 to $15,000 including the data work, over 2 to 4 weeks.
-
Which dashboard should we build first?
The one that answers the question your Monday meeting argues about. If it is shipments, start with fulfillment; if it is cash, start with the financial pulse.
